AI consultant for Pontypool businesses
AlphaOps helps Pontypool and Torfaen businesses hand their repetitive admin to AI: enquiries and referrals, compliance paperwork, phone calls, meeting minutes and staff onboarding. Our office is in Cardiff, around half an hour’s drive away, which makes a same-day visit possible when a job calls for one.
An IT management business that builds automation
AlphaOps grew out of Alphabyte IT, so we think about security, licences and support before we think about clever tools.
Alphabyte IT has run IT for businesses across South Wales from Cardiff since 2009. It’s a Microsoft Partner and holds Cyber Essentials certification. Ross Owen, who founded it, has been in IT since 2000, mostly looking after professional firms, where confidentiality isn’t optional.
Ross carries out every audit himself.
- We tell you what data an automation touches before it’s built
- Anthropic’s Claude via its business service: no training on your data, and a data processing agreement
- No need to change IT provider to work with us
Near enough that on site is easy
Pontypool is around 19 miles from our office, roughly half an hour by road, so we treat it as local. The audit can happen at your premises, and if something needs looking at in person after launch, we can often be there the same day. Visits are charged at travel cost only.
The build and support are mostly remote, inside your Microsoft 365 and business systems, which keeps costs down.

Public services, healthcare and the firms that supply them
Pontypool is Torfaen’s administrative centre, and the council’s economy strategy describes its employment as “heavily weighted towards public administration & healthcare”.
The strategy links that to the healthcare based at Mamhilad Park Estate, just outside the town. The former British Nylon Spinners factory now houses more than 150 organisations and close to 2,000 people across offices and industrial units. In nearby Cwmbran, the Grange University Hospital at Llanfrechfa opened in November 2020 as the emergency department for the whole of Gwent.
The same strategy says Torfaen’s business base is strong in ICT, advanced manufacturing and construction, with significant manufacturing employment in Cwmbran. If your customers include the NHS or the council, you’ll know the certificates, questionnaires and audit trails that come with them.
Careful with the sensitive bits
If you run or supply a clinic or care service, some of your information is health data: special category data under UK GDPR, needing more care than an ordinary enquiry.
So we usually start with the admin around the care rather than clinical records: enquiries, appointment requests, letters and compliance paperwork. Where an automation does touch sensitive information, a person reviews its output before anything is sent or saved (what’s known as human in the loop).
If something shouldn’t be automated at all, your report will say so.
Common automations for Pontypool businesses
Shaped around the sectors Torfaen is strongest in.
Referrals and appointment requests
Emails and web forms sorted by type, logged and passed to the right person, with a draft reply for staff to check.
Certificates tracked, renewals chased
Insurance certificates, accreditations, training certificates and policy documents logged with their expiry dates and chased before they run out.
Supplier questionnaires
Supplying the NHS or the council? Answers drafted from your previous submissions and policies, ready for you to check.
Site meetings, written up
Site and design meetings turned into minutes and actions. For a Cardiff construction and QS consultancy, a set of minutes went from about four hours to 15–20 minutes.
Orders in, quotes out
For manufacturers across Torfaen: customer orders picked out of emails and entered for you, and quotes prepared from your own price list for checking.
Training records that hold up
New starters are taken through onboarding videos, their welcome pack and policy sign-offs automatically, and you get a record of who has read what.
Help from Torfaen and Business Wales
Business Direct Torfaen is the council’s single point of contact for business enquiries and wider support. Business Wales covers the rest of Wales.
Funding for digital projects changes often and tends to target specific industries or skills courses, so ask what’s open before planning around it. If a scheme fits your project, we’ll help with the paperwork.
Already paying for Copilot?
If you’ve switched on Microsoft 365 Copilot and aren’t sure what to use it for, that’s where we come in. The work is split between the two companies: Alphabyte IT handles the licensing and switches Copilot and the Microsoft 365 AI features on safely, and AlphaOps works with your team to get real work out of it.
Where Copilot alone won’t do the job, such as moving information between systems or chasing on a schedule, we build an automation instead.
Pontypool questions, answered
Can AI be used with patient or care records?
Sometimes, with the right safeguards, but it isn’t where we’d start. Health information is special category data under UK GDPR, so an automation that touches it needs a clear lawful basis, usually a data protection impact assessment, and a person checking the output. Most clinics and care providers get quicker wins from the admin around the care, and we’ll tell you honestly where the line should sit.
How soon can you be in Pontypool?
Our Cardiff office is about 19 miles away, so a same-day visit is possible if a job needs one. We only charge travel expenses, and the bulk of the work happens remotely anyway.
Is there a minimum contract?
Only on the monthly plan. Monthly AI Support runs for a minimum of 12 months, starting with Essentials at £459 + VAT monthly for four hours, and unused hours roll over. One-off builds are priced up front from our £145 + VAT hourly rate and carry no ongoing commitment. The audit is free either way.
We already have an IT company. Will you step on their toes?
No. We work with whoever looks after your IT now, and agree any access, licences or changes with them before we build.
Need your IT looked after too?
Alphabyte IT, our sister company, has looked after IT, security and support for businesses across South Wales since 2009.
