Local AI for business: processing sensitive data with zero external API calls

Even when you use business-grade cloud AI with a proper data processing agreement, every prompt, document or email still travels over the internet to an outside provider’s servers. For most everyday jobs that’s fine once the paperwork is in place. For others — privileged legal matters, patient records, sensitive financial files, tender pricing or bulk back-catalogue processing — the cleanest answer to “Which outside AI provider sees this data?” is “None of them.” We now run local AI models on dedicated hardware here in Cardiff, and deploy the same setup on-premises inside clients’ offices, processing data with zero external API calls.

What “local AI with zero API calls” actually means

When a workflow uses a cloud AI service — whether that’s OpenAI, Anthropic, Google Gemini or Microsoft 365 Copilot — your software sends the text or document to the provider’s API over HTTPS, their data centre runs the large language model, and the answer comes back a few seconds later. Under business terms your data isn’t used to train their models, but a third-party sub-processor is still handling the information, and you pay a fee for every thousand words (tokens) sent and received.

With local AI, the model itself lives on a machine you control. The model weights sit on local solid-state storage and run entirely inside high-bandwidth unified memory on dedicated hardware. When a script needs to read an invoice, classify an email, redact personal details or summarise a 40-page report, it calls the model on the local machine (or across your internal office network). No data is sent to OpenAI, Anthropic, Microsoft or Google. In fact, the AI engine doesn’t need an internet connection at all to run.

Five jobs where local AI makes an immediate difference

Local open-weight models (such as the latest Qwen, Llama and Mistral models running on high-memory Apple Silicon systems) have improved dramatically over the past year. While giant cloud models still hold an edge on open-ended creative writing or huge multi-step research, local models are fast, reliable and remarkably accurate at structured business work:

  1. Extracting structured data from PDFs and statements. Reading hundreds of supplier invoices, bank statements, remittance advices, property schedules or certificates and turning them into clean CSV/Excel rows or accounting entries — without a single financial figure leaving the building.
  2. Triaging and tagging shared mailboxes. Reading incoming emails in a busy accounts, claims or enquiries inbox, identifying the client reference, urgency and category, and routing or drafting a reply entirely in-house.
  3. Confidential legal, financial and healthcare summaries. Summarising attendance notes, medical chronologies, suitability fact-finds or contract clauses for law firms, accountants, financial advisers and healthcare practices where client engagement letters or regulatory caution rule out external cloud AI sub-processors.
  4. Pre-redaction and anonymisation before cloud work. Stripping names, addresses, National Insurance numbers, account details and commercial rates locally first, so if a document ever does need to go to an external system, the identifying details have already been removed in-house.
  5. High-volume back-catalogue processing at zero token cost. If you have 25,000 historic documents, call transcripts or old project files to index, tag and clean up, cloud API token bills quickly add up. A local model can chew through tens of thousands of documents overnight for the cost of the electricity it uses.

Why compliance and data-protection teams like it

When we sit down with a managing partner, compliance officer (COLP/COFA) or practice manager, most of the hesitation around AI isn’t about whether the technology works — it’s about governance:

  • No third-party AI sub-processor to vet. Under UK GDPR Article 28, every external service that processes personal data on your behalf requires due diligence and a processor contract. When the model runs on your own hardware, there is no external AI vendor in the chain.
  • No international data transfers. Many US-hosted AI APIs require international transfer assessments or reliance on the UK Extension to the EU-US Data Privacy Framework. Local AI keeps every byte in Cardiff or inside your own premises.
  • Simpler client conversations. Increasingly, corporate and public-sector tenders ask whether supplier workflows send data to external generative AI services. Being able to state clearly that your automation runs on isolated, local models with zero external API calls removes a common procurement hurdle.
  • Human check still built in. Just like cloud AI, a local model can still misread a smudged scan or make an assumption, so we build human-in-the-loop review into every workflow before anything is filed or sent to a client.

Two ways we deploy local AI for clients

Depending on how your firm works, we set this up in one of two ways:

  1. On our dedicated hardware in Cardiff. For batch document processing, secure data clean-ups, bespoke local agents or managed workflows, we run local AI on our own high-memory Apple Silicon hardware at our Cardiff office — backed by our sister company Alphabyte IT and Cyber Essentials certification. Your data is processed locally here in Cardiff with zero external API calls.
  2. On-premises inside your own office. If you want the entire workflow to stay inside your own four walls, we supply, configure and lock down a quiet, compact local AI box (typically a high-memory Mac Studio or dedicated local server) in your comms cabinet. It connects straight to your internal file server or Microsoft 365 environment, runs 24/7 with no per-user or per-token fees, and never phones home to an outside AI provider.

Frequently asked questions

Does local AI really make zero external internet calls?

Yes. Once the model weights are downloaded and verified during setup, the inference server runs purely on local memory and processors. We bind the local AI service to localhost or your private internal VLAN and can block outbound internet access for the AI process entirely at the firewall level.

Can local AI still work with our Microsoft 365 emails and SharePoint files?

Yes. Your workflow script fetches the email or document from your Microsoft 365 tenant using your firm’s own credentials, passes the text to the local AI model on the machine for classification, extraction or drafting, and writes the result back to SharePoint, Outlook or your practice software — without ever calling an external AI API.

Is local AI as capable as ChatGPT or Claude?

For narrow, well-defined business tasks — extracting fields from PDFs, categorising emails, summarising meeting notes, checking documents against a checklist, or drafting standard correspondence from a template — a modern 27-billion to 70-billion parameter local model performs on par with commercial cloud APIs. Where frontier cloud models still win is broad, open-ended reasoning across huge bundles, which is why we help clients pick the right tool for each job.

How much does it cost to set up?

We scope every build after a free two-hour automation audit. One-off workflow builds are quoted at our standard fixed rate (£145 + VAT per hour), or covered under our Monthly AI Support plans (from £459 + VAT/month). Because there are no per-token API charges, running the model itself costs nothing beyond normal office power.

Want to see local AI running on a sample of your own workflow?

If you have a document-heavy or sensitive process where you’ve held back from using AI because of data-protection or confidentiality concerns, book a free two-hour automation audit. We’ll review the workflow with you, show you how local AI handles it with zero external API calls, and give you a plain-English report with exact build costs.
