In plain English
Every business runs on workflows, even if nobody calls them that. A new client signs up, so someone sets up a folder, adds them to the accounts system, sends a welcome email and books a call. An invoice arrives, so someone checks it, codes it and sends it for approval. Workflow automation has software do those steps, in the same order, every time.
Traditional automation follows fixed rules: when this happens, do that. Adding AI means it can also handle the messy parts that used to need a person, such as reading an email to work out what the sender wants, or pulling the details out of a PDF. Our workflow automation service combines both.
The tools range from Power Automate, which comes with Microsoft 365 business plans, to specialist platforms and custom builds. The right one depends on the systems you use and how involved the process is.
An example from a small business
Picture a hypothetical eight-person accountancy practice that prepares engagement letters by hand. Today a partner asks an administrator, who copies a template, fills in the client’s details, saves it to the right folder, emails it and chases it a week later. Automated, the partner fills in a short form. The letter is created from the template, saved, sent for signature and chased automatically, and the administrator sees a list of anything still outstanding. The steps haven’t changed. Nobody has to remember them any more.
What to watch out for
- Fix the process before you automate it. Automating a muddled process just makes the muddle happen faster.
- Start with frequent, dull work. A task done twice a year rarely repays the set-up time. One done fifty times a week is a much better candidate.
- Decide what happens when it goes wrong. Good automations send anything unusual to a person (see human in the loop) and tell someone when a step fails, rather than failing silently.
- Someone has to own it. Systems change, and an automation nobody looks after will eventually break.
